Start With Your Guest Count
The first step is figuring out how many people you expect to attend.
Not everyone will drink alcohol, and not everyone will drink the same amount. That's why your total guest count is only the starting point.
You'll also want to consider whether your event includes a meal, what time it starts, and how long the bar will be open.
Think About Your Event Length
A two-hour cocktail reception is very different from a six-hour wedding reception.
The longer your event, the more drinks you'll generally need to plan for.
It's also important to think about when your bar opens. If drinks are available throughout cocktail hour, dinner, and the reception, your consumption will look different than an event where the bar opens later in the evening.
What Are You Serving?
Your bar menu makes a big difference.
A full bar with beer, wine, and liquor gives guests more choices, while a beer-and-wine-only bar is easier to estimate.
Signature cocktails can also affect your planning. If you have a popular signature drink, you may want to make sure you have enough of the ingredients to keep it available throughout the event.
Don't Forget the Non-Alcoholic Options
Not everyone at your event will be drinking, and that's completely normal.
Make sure you have options such as:
- Water
- Soda
- Juice
- Sparkling water
- Mocktails or other alcohol-free drinks
Having good non-alcoholic choices means everyone has something to enjoy at the bar.
What About Leftovers?
This is one of the reasons alcohol planning can feel tricky.
You don't want to run out halfway through your event, but you also don't necessarily want to dramatically overbuy.
Your guest list, menu, event length, and drinking habits of your crowd all play a role in finding that balance.
